Replace verbal ETA guesses and blind automated reminders with a logged record

Field-service businesses that dispatch by phone tend to develop two quiet failure modes at the same time: front-desk staff reassure a waiting customer that a technician is "on the way" or "30 minutes out" because that is the only information they have, not because anyone actually knows, and an automated billing or reminder system keeps firing on its own schedule with no check for whether the job it is billing was ever confirmed, declined, or canceled. This page shows two small, working tools that close both gaps: a dispatch board that only shows a technician's real logged status, and turns a scheduled window nobody arrived for into a visible flag instead of a silent no-show, and a billing-reminder queue that is automatically blocked the moment an account is marked declined or canceled, before anything goes out.

Everything below is fictional. When this gets built for a real business, the dispatch board reads from whatever already schedules jobs and dispatches crews, and the billing guard sits in front of whatever system already sends reminders, it does not replace either one.

1. Dispatch & appointment-window board

Every scheduled job shows its real logged status instead of a guess. If the scheduled window closes with no arrival logged, the job is flagged automatically instead of staying silent until a customer calls to complain.

2. Automated billing-reminder audit & hold

Every pending reminder is checked against its account's current status before it can send. Marking an account declined or canceled blocks every reminder tied to it immediately, closing the exact gap where a reminder or collections notice fires on an account nobody actually owes.

How this gets built for real

The dispatch board is shown as a standalone log here. A real build reads and writes the same scheduling system dispatch already uses, so staff have one screen, not a second one to keep updated.
The window-passed flag is a simple time comparison. A real build can also trigger an internal alert (a message to a manager, a task) the moment a window closes with no arrival logged, not just a page badge.
The billing guard is a gate, not a replacement. It sits in front of whatever system already sends reminders or collection notices and only needs one signal per account: hold or release.
