The update that goes out before a customer has to call, email, or stand outside asking

A Birdeye review describes a replastering job where, after the contract was signed, no one picked up the phone, voicemails only got copy-and-paste email replies, and the crew would show up and leave without a word, leaving the customer saying "if I'm not physically outside asking questions, I have no clue what's happening." A separate review on another listing describes the opposite end of the same gap: the work itself was fine, but once it was done, the customer spent about two months emailing and leaving voicemails just to get a copy of the invoice for a home sale, with no callback.

What's real: Birdeye (Rhoshana B., "a year ago" per the page, re-fetched directly today): "Communication is basically non-existent. Since signing the contract, no one has picked up the phone not once. I've left multiple voicemails and instead of a simple callback, I get copy-and-paste email replies from Julie... The crew shows up and leaves without a word... If I'm not physically outside asking questions, I have no clue what's happening." A separate review on a Yext-syndicated directory listing, dated August 6, 2025 (read via a search summary of the page after a direct re-fetch returned a 404, disclosed as a minor evidentiary gap rather than a clean direct quote): the reviewer says the finished replastering work was satisfactory, but they spent roughly two months emailing and leaving repeated voicemails just to get an invoice copy needed for a home sale, with no callback. A direct fetch of your own contact page today found only a phone number, the aaapoolplastering1@sbcglobal.net inbox, and a general inquiry form, no booking tool, job-status tracker, or customer portal anywhere on the page.

What's illustrative: the jobs, customers, and stage history below are fictional, not your real job queue. The contact email shown in the acknowledgment message is the real address listed on your own contact page, used here only to show how a routing confirmation would read, not connected to any real message. Nothing here sends a real email; this shows exactly what a customer, and your staff, would see at each step.

What I'd flag before you roll this out anywhere else

Nothing here sends a real email. This demo shows exactly what a customer, and your staff view, would show at each step. A real version needs an actual email service connected to whatever you use to track a job today, even if that's just a shared spreadsheet or calendar right now.
The six-stage flow (scheduled, crew on-site, drain and acid-wash complete, plaster/finish applied, curing, final walkthrough complete) is a reasonable read of how a replastering job actually proceeds, not copied from your internal process. Worth a short conversation before this gets built for real; your team may track or stage a job differently, and retiling-only or renovation jobs that don't involve plaster at all aren't modeled here.
The invoice is modeled separately from the stage flow, not as one more stage. This directly answers the home-sale reviewer's story: the job itself was finished, the invoice was the thing left hanging for two months. Below, "Final walkthrough complete" and "invoice sent" are tracked independently, so a finished job with an unsent invoice stays visibly flagged on the staff view until someone clears it, instead of disappearing once the physical work is done.
The customer can request their own invoice instead of calling and leaving a voicemail. Once a job reaches "Final walkthrough complete," the customer's own view below shows a "Request my invoice" action. That request shows up as a flag on the staff view immediately, it does not depend on anyone picking up the phone.
The "days since last update" flag uses a 14-day threshold chosen for this demo, not a number from your own process. It is a generic staleness check on any job still in progress, a direct answer to the Birdeye review's description of a crew showing up and leaving without a word, with nothing told to the customer in between visits.
Both reviews quoted above sit alongside otherwise mixed public ratings for your business (Yelp shows 2.4 stars from 8 reviews; the Yext-syndicated listing shows 3.9 from 33, with other reviews there describing fair pricing and one-day completion). This is disclosed here rather than glossed over: the communication gap described is real and recurs across more than one customer and listing, but it is not the only kind of feedback your business has received.
