Template, not built for a specific business

A balance shouldn't go out to a customer until it agrees with what was actually paid.

A billing system shows one balance. The payment/adjustment ledger and an insurer's remittance status can each tell a slightly different story by the time a statement or collection letter is about to be mailed, a payment posted late, an adjustment not yet reflected, a remittance still pending, two systems both generating a statement for the same account during a transition. Each of those is exactly the kind of gap that turns into a "you billed me for something I already paid" complaint. This page shows a small, working tool that sits right before the mail step: every statement queued to go out is automatically checked against the ledger and remittance status, and anything that doesn't reconcile is held instead of mailed.

Everything below is fictional. When this gets built for a real business, it reads from whatever billing, payment-ledger, and remittance/EOB data already exists, it does not replace any of those systems, it just checks them against each other before anything goes in the mail.

Statements about to go out

Reconciliation runs automatically the moment a statement enters the queue. Anything held stays held until someone resolves it, nothing gets mailed by default just because time passed.

In production this row comes from a billing-system export, a payment-ledger export, and a remittance/EOB feed, matched automatically. Here you fill it in by hand to see the reconciliation check run.

How this gets built for real

This is a checkpoint, not a new billing system. It sits between whatever already generates a statement and the mail step, and only needs read access to three things that already exist: the balance, the payment ledger, and the remittance/EOB feed.
Holding is conservative on purpose. A false hold costs someone a few minutes reviewing it. A false send is the complaint this tool exists to prevent, so it errs toward holding when the sources disagree.
Releasing a held statement is a deliberate action, not automatic. The tool flags the mismatch, a person still decides it's actually resolved before it goes out.
